Bot-free AI meeting notes on Windows: how they work and what to pick

No notetaker joining the call: how bot-free meeting notes work on a Windows PC, which apps do it, and how to choose between them for Zoom, Teams and Google Meet.

A notetaker bot is a fake participant. It shows up in the attendee list as “Otter.ai” or “Fireflies Notetaker,” someone has to admit it, and a client sometimes asks what it is before the meeting has started. Plenty of companies now block them outright.

A bot-free notetaker records on your own computer instead: your microphone, plus the audio your PC plays from the call. Nothing joins the meeting, so it works the same in Zoom, Microsoft Teams, Google Meet, Webex, or a phone call on your laptop.

How bot-free notes work on Windows

Windows lets an app capture two things at once: the microphone, and the system audio going to your speakers or headset. A bot-free notetaker records both, sends the speech for transcription, and writes notes when the meeting ends.

Two details matter more than they sound:

  • Two separate sources. If the app records your mic and the call as separate tracks, it always knows which words were yours. The other people still need to be told apart by voice.
  • What happens when your headset changes. Switch from speakers to Bluetooth halfway through and a careless recorder loses the rest of the call. Check that the app keeps going.

None of this changes the etiquette. Tell people you’re taking notes. Many places require everyone’s consent to record a conversation, bot or no bot.

Your options on Windows

Option Bot-free on Windows? How you pay
Vokalu Yes, every meeting app 3¢ per minute of talking, notes included
Granola Yes, native Windows app since June 2025 Free plan; Business $14/user/month
Fireflies Desktop app and Chrome extension record without the bot; the default is a bot Per seat, from $10/month billed yearly
Fathom Bot-free capture is a Mac beta; on Windows it uses a bot Free plan; Premium $16/month billed yearly
Otter Notetaker joins Zoom, Teams and Google Meet 300 free minutes a month; Pro from $8.33/month billed yearly
Teams’ own transcription Built in, not a bot, but everyone is notified and the transcript goes to the organizer Included; AI recap needs Teams Premium or Copilot

Granola is the closest alternative to Vokalu here: it was built around device audio rather than a bot, and it has run natively on Windows since June 2025. Fireflies and Fathom are bot-first products with bot-free options, and Fathom’s is Mac-only for now.

How to choose

Pick by how often you meet. A per-seat plan pays off when you’re in meetings all day. If your calendar is uneven, paying per minute is usually cheaper: at 3¢ a minute, ten 30-minute calls cost $9 in a month, and a quiet month costs almost nothing.

Pick by who owns the notes. Teams’ built-in transcription saves the transcript to the organizer’s OneDrive. If you’re a guest in someone else’s meeting, a notetaker on your own PC gives you your own copy.

Pick by what you do with the notes. If they go into a CRM automatically, look at Fireflies’ or Granola’s integrations. If you mostly need a clean write-up with decisions and next steps, any of these will do. Try two on the same meeting and compare.

Bot-free notes in Vokalu

In Vokalu, open Notes, pick a template (meeting notes, or one for sales calls, product reviews, 1:1s, standups or interviews) and press Start. Vokalu records your microphone and your computer’s audio as two sources, tells the other speakers apart, and keeps going if your headset or speakers change. When you stop, you get notes organized by topic, with the numbers and names people used and next steps with owners.

The audio is never saved. The transcript and notes stay on your computer unless you share them. You can ask follow-up questions (“what did they say about the timeline?”), rewrite with another template, or save the notes as a Markdown file.

Already recorded the meeting? Upload the audio or video file instead, up to three hours.
